On-premise AI for clinics and medical centers

Automate appointment reminders over WhatsApp, organize medical records and consent forms with on-premise AI: the processing happens inside the clinic.

Health data does not leave the clinic

Medical centers and dental clinics handle information every day that Article 9 of the General Data Protection Regulation (GDPR) gives reinforced protection. Sending that documentation to a cloud-based artificial intelligence tool triggers the GDPR requirements on data processors and international transfers, and raises the question of whether the duty of confidentiality allows it at all.

With Polaris AI, clinical data is processed on a server inside your own premises. Because records are not sent to an external AI provider, the third party that would receive that information disappears. Protection against improper access within the clinic still depends on how the system is set up and who holds permissions.

Appointment reminders over WhatsApp

A local agent reads the center’s schedule and sends appointment reminders and confirmations over WhatsApp, with no external cloud in between. The connection to the calendar is configured during deployment, just like the one to your email.

Medical record indexing

Search across patient reports and diagnostic tests by what they say, not just by exact words, to locate clinical precedents or specific symptoms without opening file after file.

Consent form digitization and filing

Automatically extracts signatures, personal details, and dates from consent forms signed digitally or scanned from paper, filing the legally required documentation in the patient’s internal record.

Less weight on Article 9

With no transfer of data to an external provider, the data processing agreement and the international transfer analysis a cloud solution would require both fall away. The clinic’s other obligations as data controller remain.

A system that optimizes the front desk

The questions that come up most often — opening hours, how to prepare for a test, how to book a first appointment — can be answered from the clinic’s official number, so reception staff can focus on the patient in front of them. How far that automated conversation goes is the clinic’s decision, and it is tuned during deployment.

Frequently asked questions

Article 9 gives health data reinforced protection and requires strict security measures. By running on-premise on the clinic’s own network, no record is sent to an external AI provider, so the data processing agreement and the transfer analysis a cloud solution would need both fall away. The clinic’s other obligations as data controller remain.
Indexing of medical reports for internal searches, digitization of signed consent forms, and appointment reminders over WhatsApp. Which of these are switched on, and in what order, is decided during deployment, based on what each clinic needs.
It is one of the connections considered in the project, like the one to email or WhatsApp: a certified integration partner connects the local agent to your practice management software’s database to synchronize patients and schedules. What can be connected depends on which software you use and what it allows, and is assessed during the preliminary visit.
