65% is the share Polaris already covers in full in the documented case. Adjust it to yours; if you do not know it, that is exactly what the assessment measures.
Your estimate is only the first step. In a Polaris AI Assessment we analyze your real processes to identify where the greatest potential for automation and savings lies. The figure above comes from the numbers you entered, not from a promise on our part.

We run the assessment ourselves: a 30-minute meeting with you, looking at how you work, and afterwards a document with what we found and where we would start. It is not a report generated automatically.
That time does not come out of nowhere: it comes from no longer doing by hand what can already run on its own.

What we hear from our customers.
Figures from the pilot we measured, not from a market study. What comes out at your company depends on your volume.
150hours a year
Three people and little paperwork
This is the case we have measured in full, end to end. The smallest business of all those we will look at.
≈ 250hours a year
The same business, with payments received included
Posting every payment received to the books and categorizing it is the same work through another door: roughly 8 more hours a month. It is described in detail, and not yet connected.
From 500hours a year, with no known ceiling
A small or mid-sized business with real volume
Thousands of invoices a month instead of dozens, a quarter that takes days instead of hours, and people out of the office asking where everything is. Where it stops, we do not know: it depends on your volume.
We do not know whether, in your case, it is 150, 500, or many more. What we do know is where the hours go: organizing what comes in, checking it again, and searching for what was already there. That calculation is done with your numbers, not someone else’s.
// WHAT POLARIS AI IS
A layer of intelligence over the work you already do.
Polaris AI is an agentic AI platform installed on your company’s own infrastructure, working over your knowledge, your documentation, and your processes. Not a single piece of data leaves your premises. No never-ending contracts with a cloud provider. No surprises on the bill.
Total privacy — by design.
None of your documents ever reaches an AI provider: the model runs on your server. No copies in someone else’s data centers, no prompts traveling to another continent. Designed for GDPR, professional secrecy, and special categories of data.
The container network has no internet access. If any component tried to phone home, it would not get through — and that is exactly what happens with one of them.
No usage fees, no surprises.
A one-time hardware investment, a fixed monthly license, unlimited queries. Cost does not scale with usage: your team stops worrying about "asking the AI too much."
€0/token · €0 per query
It knows your business.
It indexes your contracts, invoices, manuals, WhatsApp history, and internal tools. Every answer is grounded in your operations, your vocabulary, and your rules. No public models are trained on your data.

// Product screens
Polaris, in practice.
A real product, not mock-ups. These are the product’s own screens, with sample data, translated for this page: the product interface is currently in Spanish.
Ask the way you speak
No fields to fill in, no need to learn where everything lives. Type the question and Polaris answers with what is in your documents.
Illustrative mock-up · the product interface is currently in Spanish · fictitious companies, amounts, and documents
Everything that comes in, in one place
Whether it arrives by email, as a photo, or dropped into a folder on your computer: it is detected, classified, and filed with its date. And it goes out to Excel or PDF for your accountant in one click.
Illustrative mock-up · the product interface is currently in Spanish · fictitious companies, amounts, and documents
It proposes. It does not execute.
Polaris detects what needs to be done and leaves it ready, stating which document it acts on. Nothing is filed, recorded, or sent until a person says yes.
Illustrative mock-up · the product interface is currently in Spanish · fictitious companies, amounts, and documents
For your accountant, in one click
The quarter goes out in Excel, CSV, or PDF without searching for anything again, because it was already classified the moment it came in.

Nothing goes out without a yes
When a new document comes in, Polaris notifies you on the desktop and waits. Approving or rejecting is one click; if nobody answers, the notice reaches you on WhatsApp. It is a step in the process, not a setting.
Illustrative mock-up · the product interface is currently in Spanish · fictitious companies, amounts, and documents
Polaris does not decide for you. It decides with you.
Human approval is not a setting you configure: it is a step in the process, and it cannot be turned off.

// INDUSTRIES
Built for industries where your data cannot leave.
Four examples of how it is applied, with templates, integrations, and legal groundwork ready. They are not four separate products: it is the same Polaris, adjusted to what comes in and goes out at each kind of business.
Industry not listed? We will analyze your company.
What changes from one industry to another is the type of document and who is allowed to see it, not the way of working. If yours is not in these four cards, the assessment covers it.
Split into three, with no mixing: what is running in production, what is built and depends on an integration or a configuration, and what is still in development. The hours shown are those of the case we measured.
Available Running in production today
72 ha year
Organizing documents
Complete
Email is read automatically three times a day, and invoices and delivery notes are recognized with their supplier, number, and date. A photo of a receipt is classified on its own, and so is whatever is dropped into a folder on your computer. Duplicates are detected.
24 ha year
Preparing the handoff to your accountant
Complete
Everything is classified and dated from the moment it comes in, so the quarter goes out filtered and exported to Excel, CSV, or PDF without searching for it again.
6 ha year
Closing the annual accounts
Partial
Documents go out the same way as the quarter. Revenue does not: no sales source is connected. Payroll is listed, but without amounts and without export.
≈ 50 ha year
The day-to-day trickle
Two of three
Looking up an expense and finding an invoice, yes: you ask the way you speak, from the desktop or over WhatsApp. Checking a due date, not yet.
Integration / configuration Built; depends on connecting or configuring it
≈ 96 ha year
Sales and payments received
Downloading every payment received, posting it to the books, and categorizing it by service. It is the same work as organizing invoices, with a different entry point. Today no sales source is connected.
—a year
Due dates
Detecting them in email and sending a warning before they pass, with an entry in the calendar. It is built and currently paused.
—a year
Invoice reports over WhatsApp
Request the monthly summary and receive it as a message, Excel, or PDF. It is built; it still needs to be pointed at the document archive, which does hold data.
—a year
Catalog over WhatsApp
A customer asks about a service or a price and Polaris answers. Built and shelved: the first customer did not want a customer-facing chatbot.
In development Not built yet; it matters most where people work out of the office
Real search across your documents
Today, queries are rules and SQL. Asking in plain language about the entire archive is the improvement with the greatest effect on what already exists.
Orders and appointments over WhatsApp
An order comes in over WhatsApp and is recorded, without anyone typing it in.
Sales reps asking from the field
The information they need, on their phone, without calling the office. In a three-person business it is not needed; in a company with people in the field, it changes the whole calculation.
// In development
Up next.
Polaris is under active development, and this is what is coming. If any of this is exactly what you need, tell us in the first conversation: customers set the order, not us.
Telegram, alongside WhatsApp
Today, the conversation with Polaris runs over WhatsApp. Telegram is the same work done a second time: same agent, same human approval, another door. For those who prefer not to mix business with their personal number.
A sales role
Today Polaris distinguishes between management and administration: each sees only what belongs to them, and what can be asked over WhatsApp depends on who is asking. The next role is the sales rep: checking an order or a client file from the field, with no access to anything beyond their remit.
A folder that monitors itself
You drop documents into a folder on your computer and Polaris picks them up, classifies them, and files them without anyone pressing a button. The component exists and is paused on purpose: we are still cataloging how many different ways the same document can arrive before we let it loose on yours.
Your management software
A3, Sage, Odoo, or whichever you use. Today Polaris leaves the work ready for your accountant in Excel, CSV, or PDF; the next step is for it to flow directly into the system where you already keep it.
Reflective Module proposals
Polaris watches how it is used and proposes improvements: a purchase worth reviewing, a recurring question that deserves a template, two reports that could arrive together. Each proposal carries its priority and is accepted or dismissed. The window exists; the module that feeds it is built and not yet deployed.

We walk through Polaris AI together on your real use case.
A 30-minute session, with no commitment and no sales script. If you have already been through the assessment, we start from there and will not ask you the same things again.
We work on a case similar to yours
We show you Polaris running
We go over which automations fit
We review the estimated impact using your numbers
We explain what deployment looks like and what hardware it takes
We talk with you and look at how you work: which tasks repeat, what comes through email, WhatsApp, or Excel, which tools you have, and which processes are still manual. From that we identify what Polaris can automate, assist with, or speed up, estimate the impact using your data, and prioritize what would make sense to deploy first. It is carried out by a person, not generated automatically.
The goal is not to replace what you already use, but to sit on top of it: Polaris works as a layer of intelligence and automation over your tools where that makes sense. Today it leaves the work ready in Excel, CSV, or PDF, and writing directly into management software such as A3, Sage, or Odoo is on the roadmap. What can be integrated in your specific case is determined during the assessment: we do not promise that everything integrates with everything.
Polaris AI is installed on hardware that lives on your network — an on-premise server or a private virtual machine. None of your documents ever reaches an AI provider: the model runs on your server. The only two outbound connections are to your own Google Workspace and to WhatsApp — the same ones you already use today. You can audit the outbound traffic and verify it yourself.
Setup is carried out by a certified integration partner at your premises, and training is tailored to your team and your schedule. The specific timeline is set during the preliminary visit, once we know what we are working with.
We update it for you. Your hardware and your corpus stay the same; only the engine changes. It is part of the monthly license, at no additional cost.
In terms of raw capabilities, all three are comparable today. The difference lies in the business model and the risk: ChatGPT and Copilot charge per token and process your data on their servers. Polaris AI has a flat rate and lives on yours.
It depends on the size of your company and the workflows you want to automate. We guide you through choosing and purchasing the right server and, depending on the case, we can supply it ourselves as a turnkey solution.
None. Month to month; cancel whenever you want. If you cancel, your hardware and your corpus stay with you: the software can keep running in offline mode, without updates.
