// Polaris AI Assessment

Find out where on-premise AI can add value in your business

We analyze one specific administrative process to identify repetitive tasks, assess how feasible it is to automate them, and estimate their potential for improvement. The assessment separates known data from assumptions and does not guarantee any particular financial outcome.

What the assessment includes.

Five steps, applied to one specific process in your business.

  1. 01

    Initial meeting

We get to know your business and the process you want to improve: who does it, with which documents, and with which tools.

  2. 02

    Tasks, documents, and volume

We identify the tasks that repeat, the documents involved, the approximate volume, and the steps that are manual today.

  3. 03

    Feasibility

We make a preliminary assessment of technical feasibility, the integrations that would be needed, and which actions should wait for a person’s approval.

  4. 04

    Opportunities and limitations

We make an indicative estimate of where there is room for improvement and where there is not, keeping the data you give us separate from the assumptions.

  5. 05

    Assessment and next step

We deliver the assessment with what we found and a proposed next step.

What we look at, depending on the process

  • Repetitive tasks
  • Documents coming in and going out
  • Email
  • Spreadsheets
  • Tools you already use
  • Manual steps and reviews

Worth knowing

  • It separates known data from assumptions and says which is which.
  • It does not guarantee any particular financial outcome.
  • It may conclude that a process is not worth automating, or that it cannot be done today.
  • Actions configured to require approval wait for a person’s decision.
// Indicative calculator

A first calculation, with your own figures.

Indicative estimate. The calculator knows nothing about your business: it only does the math with the figures you enter. It is not a measurement or another company’s result, and it does not replace the assessment.

Add up the hours of everyone who does it. If the same hour fits two tasks, count it only once.

This is your assumption, not our data. If you do not know, try several: that is exactly what the assessment looks at.

Automated work still gets reviewed: checking, approving, correcting. If you leave it empty, it counts as zero.

Only used to express the time in euros. One way to work it out: the person’s annual cost ÷ hours worked per year.

Indicative estimate

Current time on the process
—
Time after automation, based on your assumption
—
Time potentially freed up
—
Value of that time at your hourly cost
—

Enter the hours and the percentage to see the estimate.

This is not a cash saving: freed-up time only becomes a saving if it goes to other work or stops being paid for.

How it is calculated

  • Current time = hours per week × 52 ÷ 12 (the weeks in a year spread over twelve months).
  • Time after automation = current time × (100 − percentage) ÷ 100 + review hours × 52 ÷ 12.
  • Time potentially freed up = current time − time after automation. If the result is negative, it shows zero.
  • Value of the time = time potentially freed up × hourly cost.

Assumptions and limits

  • The percentage is yours: the calculator does not suggest or adjust it.
  • It assumes the process has the same volume every week.
  • It does not include the cost of implementing or maintaining a solution.
  • The examples in the fields are fictitious: they do not come from any company.

Questions about the assessment

It is enough to know which process you want to improve and who does it today. A sample document or a rough idea of the volume helps; if you do not have them, we will look at it together.
No. It estimates opportunities and limitations with the data you give us, and it keeps what is known separate from the assumptions. It does not guarantee any particular financial outcome.
We will tell you. The assessment may conclude that a process is not worth automating, or that it cannot be done today with what Polaris AI offers.
