On-premise AI for logistics and distribution

Automate data extraction from delivery notes and order intake over WhatsApp, and leave the order ready to enter your on-premise ERP.

Speed and control across the distribution chain

In logistics and distribution, bottlenecks often arise in warehouse administration: manually logging inbound delivery notes, transcribing the ever-changing orders that arrive by email or customer chats, and keying data into the ERP. Doing this by hand causes shipping delays and costly inventory errors.

Polaris AI automates those tasks with an agent that runs on your own premises. Your logistics data is not sent to an external provider and, because the model runs locally, processing does not stop when the internet connection drops.

Intelligent delivery note processing

Automatically extracts product references, batch numbers, quantities received, and delivery dates from PDF delivery notes or photo scans, cross-checking them against your purchase orders.

WhatsApp orders straight into the ERP

A local agent receives the voice messages, text, or photos of orders your regular customers send over WhatsApp and identifies the items to leave the order ready for validation. The ERP connection is configured during deployment, just like the one to your email.

Synchronization with local databases

The system can talk to local databases (SQL Server, MySQL, or others) to keep inventory current without depending on external web services. Which database, and with what permissions, is defined at the start of the project.

Resilience to network failures

Because the artificial intelligence engine runs on-premise, warehouse data entry does not depend on the internet connection. What does need it are the external sources, such as email or WhatsApp.

Less manual transcription, more warehouse control

A certified integration partner configures the local agent to connect to your warehouse folders or company email — which sources get connected is decided during the preliminary visit. When goods arrive, the system classifies the delivery note and leaves the data ready. Warehouse staff check the physical goods and confirm from their terminal. Nothing is recorded without that yes.

Frequently asked questions

Instead of relying on templates with fixed positions, the local reflective engine works from the meaning of the delivery note to extract references, quantities, and descriptions. That way it adapts to suppliers who send the same document in different ways, without defining a new template each time.
By leaving the data in CSV or JSON ready for your ERP, or by connecting directly to your local database. It is a connection configured during deployment, like the one to your email: which system you use — on-premise SAP, Dynamics, Sage, or a custom build — and how the information arrives is defined at the start of the project.
The local agent can receive the customer’s order message or image, identify the products, and leave them preloaded in your system so the warehouse can prepare them. How far the automated conversation with the customer goes is your decision, and it is tuned during deployment.
